HQ

The office behind your community

HQ is where your staff and volunteers run everything members see: 24 sections behind one passwordless sign-in. Publish and it is on the website and in both apps within a minute, with no developer and no deploy.

The Melville Chamber of Commerce, Long Island’s largest chamber, is run from HQ every day.

Start of the day

Open HQ and see what needs a person

The dashboard greets you with one line: nothing is waiting, or how many things are. Everything under it is a shortcut to the work.

Dashboard

Tiles appear only when there is something in them, and only for the roles allowed to act on them.

  • New inquiries, flagged messages, drafts, reported accounts, introductions waiting
  • Sign-ups and page views this week, members listed
  • The next six events with registered versus capacity, Full and waitlist badges
  • “Worth tidying”: listings nobody can sign in to, members with no map pin

Reports

Six standing reports, each with a live count, an on-screen table and a full spreadsheet.

  • Who can sign in, and who nobody can (your invite list)
  • Invited but never signed in
  • Listings missing a logo, about, website, phone, map pin or category
  • Members nobody can be introduced to, and possible duplicate listings

Analytics

Your own page-view counts over 7, 30 or 90 days, beside the things that matter to a chamber.

  • Totals, busiest day, daily average and a daily chart
  • Top 20 pages and top 12 referring sites
  • Event sign-ups (members versus guests), inquiries and new subscribers in the same window

Activity

Who is signed in to the member side, and which listings and contact cards are being looked at.

  • Active member sessions with device and expiry
  • A feed of listing and card views, searchable, with a most-viewed ranking
Events

From the listing to the check-in table

The Chamber runs breakfasts, after-hours mixers, roundtables and its annual Business Expo out of this section. 809 registrations have gone through it.

Event editor

Title, summary, date, start and end, venue and address, category, arrival instructions, image and details.

  • Draft, published or canceled (the page stays up, marked canceled)
  • Registration on or off, capacity, and a waitlist that fills itself
  • Separate member and guest prices, a price note and a close date
  • Its web address is frozen once published, so shared links never break

Roster and reminders

Registered, places left, waitlist, reminded, money taken and money still owed, at a glance.

  • Every person: member or guest, seats, paid state, notes, confirmation-email status
  • Cancel a registration and the waitlist moves up automatically
  • Send a reminder to yourself first, then to confirmed attendees not yet reminded
  • Reminders carry Google and Apple calendar links and directions, and a send log
  • Download the roster as a spreadsheet

Check-in at the door

A phone-first door screen, so a volunteer with a phone is the whole check-in desk.

  • Arrived, to come and owing, counted live
  • Scan the ticket QR, or type the code, and see if it is for a different event
  • Search by name, company or email; check in and undo
  • Walk-ins added on the spot, never duplicated
  • Take payment at the door: the guest scans a code and pays on their own phone
Members

The roster, the listings and the people

Every member business has a record here, and every person with an account has one too. The Chamber keeps more than 500 member businesses current from this section.

Applications

People who joined online, paid by card or asked to be invoiced.

  • Dues band, category, amount paid, when they agreed the terms
  • Approve and the listing goes live with a welcome email
  • Turn down an invoiced application without emailing anyone

Members and listings

Active, lapsed and hidden, with the full listing editor and the member’s billing in one place.

  • Contact details, booking button, address with an automatic map pin, three categories, twelve services, hours by day
  • “Read the website”: AI drafts the listing from the business’s own site, and nothing saves until you do
  • Who has looked at this listing in the last 30 days
  • Invite an owner or a manager by email; the last owner is protected
  • Place every missing member on the map in one go

Introductions

AI suggests members worth introducing to each other, with a written reason, and never a competitor.

  • Mark an introduction made, or set it aside, with history
  • A list of what people are looking for that no member offers yet: your recruiting list

People

Everyone with an account, member or not.

  • Filters for reported, suspended, never signed in, no listing, card published
  • Their devices, who viewed their card, what they asked to meet
  • Suspend and restore, or sign them out of every device

Feed moderation

Reported, held, live and taken down, in four tabs.

  • Read the post with its photo, likes and every report with its reason
  • Take down (kept on record), publish a held post, put back, or leave it up
Reach

Publish, email and push from one place

News goes to the website and both apps within a minute. The Chamber has published 167 stories this way.

News

Headline, summary, category, date, byline, image with alt text, and the story.

  • Draft, published, or waiting when a member sent it in
  • Feature a story to lead the front page
  • Filter by published, drafts or from members, and search

Email broadcasts

Write, preview in your own email template, and send to the people it concerns.

  • All members, everybody with an account, lapsed members, or hand-picked businesses
  • A test to yourself is required before anything sends
  • Sends in waves of 25, 50, 100 and then the rest, each released by hand
  • Delivered, bounced and complaint counts per wave; sending pauses itself if bounces pass 4%
  • A personal one-click unsubscribe on every message

Push notifications

A title, a line of text and a lock-screen preview, to the same audiences.

  • Choose where a tap lands: a story, an event, a business or a section
  • “Urgent” breaks through Focus on iPhone
  • Shows people reached and phones reached; a test to your own phone first

Inquiries and subscribers

Every form on the site lands in one inbox: contact, membership, advertising, certificate of origin, cancellations.

  • New, in progress, done, and a “needs a look” tab for spam that was saved rather than dropped
  • Whether the office alert and the person’s confirmation actually went
  • The newsletter list with unsubscribe and resubscribe, and a spreadsheet of both
Money

Every dollar, in one ledger

Dues, tickets, Expo tables, sponsorships and advertising, whether Stripe took it or somebody handed over a check.

Payments ledger

Taken this month, taken this year, memberships renewing and seats awaiting payment.

  • Membership, events, Business Expo, sponsorship, advertising and other
  • Record a check, cash or a card taken elsewhere, by hand
  • Recurring view: renewing, yearly total, failing cards, stopped subscriptions
  • A Stripe link on every card payment

Business Expo

Exhibitor tables and sponsorships bought on the site.

  • Paid, to invoice, and abandoned checkouts, with money taken and money owed
  • Mark an invoice paid and the ledger records the check

Advertising

The ad server’s control room: packages, creative, placements, schedule and reports.

  • Standard, Enhanced and Promoted listing packages
  • Seventeen placements across the site
  • Impressions, clicks and click rate per ad and per placement
Staff and security

Four roles that really restrict

A hidden section is refused on the server too, so guessing the address gets “not found”, not a page with the menu item missing.

Owner

Everything, including staff accounts. The last owner can never be demoted or switched off.

Admin

Everything except staff accounts: members, money, advertising, broadcasts, reports and exports.

Editor

News, events, check-in, feed moderation, members and applications. No money, no broadcasts, no exports.

Door

The check-in screen and nothing else. Lands straight on it. Made for the volunteer at the table.

  • No passwordsStaff sign in with a six-digit code or a one-tap link by email. Codes expire in ten minutes and allow five tries. Every sign-in is logged.
  • Nothing to steal twiceCodes and session tokens are stored only as secured hashes, so a copied database cannot be replayed as a sign-in.
  • Staff and members apartStaff accounts and member accounts live in separate spaces. A member session can never reach HQ.

And the small things: light and dark themes, sortable tables, a mobile layout for the office manager on the move, and spreadsheets for members, the Expo, subscribers, inquiries, payments, registrations and every report, safe to open in Excel.
